Your team already lives in Microsoft 365. The 3CX Microsoft 365 Integration Solution connects your business phone system to the tools your team uses every day. It links user accounts, contacts, and Teams presence with 3CX, so your IT team doesn’t have to keep a separate set of user records. Employees sign in with their Microsoft credentials, get their synced contacts, and make calls through 3CX. With Microsoft Teams Direct Routing, eligible Teams users can also reach 3CX extensions.
If your people split their time between offices, client sites, and home, keeping these systems in step saves a lot of daily admin. Netmate IT is a Dubai-based 3CX partner with more than 12 years of IT services experience. We help you plan, configure, and deploy the integration, from Microsoft 365 account sync to Teams calling setup. We support organizations across the UAE and GCC, and our services also reach Kenya and Nepal.
Every new hire, department move, or role change means more work if your phone system has its own user list. You can import selected users and automatically create their extensions with 3CX connected with Microsoft 365. The extension number range and users/departments to sync are set by you.
Sync is performed every day between Microsoft 365 and 3CX, reducing manual account creation and ensuring the user information remains in sync. One thing to note: If you remove or disable a Microsoft 365 account, its 3CX extension continues to remain. These will have to be tidied up by your admins.
Your employees are already signing in to Outlook, Teams, and other apps using their Microsoft accounts. A second password for the phone system is only a hindrance. They can login to the 3CX Web Client with their existing credentials with Microsoft SSO. Your current Microsoft sign-in controls are still in effect, as authentication takes place via Microsoft Entra ID.
This translates to reduced password management hassles and streamlined login. The availability of SSO is dependent on your 3CX deployment mode and configuration.
Some use a combination of Teams, and customer service and operations teams require the comprehensive capabilities of a standalone phone system. Direct Routing serves as a link between these two.
Qualifying teams can place and receive calls via 3CX telephony. 3CX still manages routing, extensions, and SIP trunk-supported calls. Requires 3CX and Microsoft licences, DNS configuration, a Microsoft-approved SSL certificate, and network access to set it up. Teams and 3CX are separate applications, so not all 3CX calling features will be available in Teams.
If your customer and supplier contacts already live in Microsoft 365, nobody should have to retype them into the phone system. 3CX can import personal Microsoft 365 contacts into each user’s personal phonebook. It can also sync shared mailbox contacts into the 3CX company phonebook. Both syncs run one way, from Microsoft 365 to 3CX.
Your teams keep maintaining the source contacts in Microsoft 365, and sales, support, and admin staff can then call those contacts from supported 3CX apps.

Imagine a colleague who is free in the phone system but in a Teams meeting. This results in interruptions and confusion.
To prevent this, 3CX can synchronize presence between Teams and the phone system. Updates can be sent from 3CX to Teams, from Teams to 3CX, or both, and mappings for the supported availability states may be configured according to your business’s needs. Do this carefully, as otherwise you can get status loops. Everyone can see a clearer picture of who’s available with the correct settings.
affic, e.g., VoIP, ERP, and cloud applications. This maintains the smooth running of performance even in peak time.
3CX can also deliver system email notifications via Microsoft 365, thus keeping phone system messaging within your current email environment. This is controlled by an authorized Microsoft 365 account, rather than a separate email service, and is set up by your admin. Supported calendar integration can also update a user’s 3CX availability based on the user’s scheduled meetings.
For meeting participants, their phone status changes automatically. All these little things make a big difference every day when we’re communicating and ensure that Microsoft 365 remains the focus of our day-to-day.
Installing the software is the easy part. The tricky part is everything around it. User sync, identity permissions, Direct Routing, and phone settings all depend on each other, and one wrong account mapping or routing rule can lock someone out or drop business calls. So before we touch anything, we look at your Microsoft 365 tenant, your 3CX setup, your licenses, and what your teams actually need from their phones. After that, we plan, deploy, test, and support.
Netmate IT is based in Dubai, and we’ve been doing IT infrastructure work for over 12 years. We’re a 3CX partner, so we help businesses across the UAE and the GCC set up communication systems that work with what they already have. We also cover Kenya and Nepal. Whether you want Microsoft SSO, shared company contacts, or Teams calling, we’ll set it up to match how your business runs, and we’re still around after go-live.
Plenty of companies already run on Microsoft 365. When they add a phone system, the last thing they want is another set of accounts to look after. That’s where this integration fits in. Take a financial services firm in Dubai. Their staff just want to log in with the Microsoft account they use for everything else. A support team in Abu Dhabi has a different problem: they need shared contacts and one place to route calls.
Then there are companies with offices across the UAE and GCC, where people chat in Teams all day but still rely on 3CX when it’s time to pick up the phone. Each of these setups mixes user management, contacts, availability, and calling in a slightly different way, and the integration handles them all. You’ll notice the benefit most when your headcount grows, or a new office opens.
It connects 3CX with supported Microsoft 365 services. Admins can import Microsoft 365 users into 3CX, turn on Microsoft SSO, sync personal and shared mailbox contacts, and set up Teams presence updates. You can also configure Teams Direct Routing for supported calling scenarios. The result is less duplicate admin work and a closer link between your Microsoft accounts and your business telephony. It doesn’t merge every Microsoft 365 and 3CX feature into a single app.
Yes. With Microsoft SSO, employees can open the 3CX Web Client using their Microsoft credentials. Your admin needs to configure the Microsoft 365 integration and enable SSO for the right users. Authentication happens through Microsoft’s identity platform, so people don’t need a separate 3CX password. Keep in mind that SSO isn’t available in every 3CX operating mode, including Multi-Company mode, so check your deployment first.
Yes, with a few rules. User information syncs from Microsoft 365 to 3CX daily, and you choose which users or departments to include. Personal and shared mailbox contacts also sync into the matching 3CX phonebooks. All of this is one-way, so changes made in 3CX don’t update the original Microsoft 365 records. Admins also need to remove outdated 3CX extensions by hand when a Microsoft 365 account is disabled or deleted.
Yes. Teams Direct Routing lets eligible Teams users communicate with 3CX users through a configured telephony connection. You’ll need supported 3CX licensing, Microsoft Teams Phone licensing, suitable network settings, and an approved SSL certificate. You’ll also need to set up the relevant calling policies and dial plans. Direct Routing doesn’t make 3CX a full replacement for Teams Phone features, and some 3CX calling functions stay available only in 3CX apps.
It depends on the features you want. Standard Microsoft 365 integration needs eligible accounts with an Exchange subscription, such as supported Microsoft 365 Business or Enterprise plans. Teams presence sync needs Teams-enabled user licenses. Teams Direct Routing has extra requirements, including a qualifying 3CX AI Edition license that supports at least 16 simultaneous calls, plus the right Microsoft Teams Phone licensing. Netmate IT can review your current subscriptions before deployment and flag anything missing.
The integration relies on Microsoft’s identity services for SSO and needs authorized access to your Microsoft 365 resources. Admins decide which users and departments sync with 3CX, and Direct Routing adds certificate and network requirements. That said, the integration alone doesn’t guarantee security or regulatory compliance. You’ll still need sound account permissions, authentication policies, firewall rules, and ongoing administration. Netmate IT can configure the integration to fit your existing security requirements and policies.
Yes, as long as your current 3CX deployment supports the features you need. We’ll review your phone system, Microsoft 365 tenant, user accounts, licensing, and network setup before changing anything. The work may include account sync, SSO, contact integration, Teams presence mapping, or Direct Routing. Some environments need a 3CX upgrade or licensing changes first. We test the configuration before wider rollout to keep disruption to your business communication low.
